GoHighLevel Calendar Not Booking Correctly: Availability, Time Zone and Scheduling Problems

When a GoHighLevel calendar shows the wrong availability, rejects bookings or books at the wrong time, the cause is usually in the availability rules, the time zone settings or the event configuration. This guide covers how to diagnose a calendar that is not booking the way it should.

Where calendar booking breaks

A calendar booking has several moving parts. The availability rules decide which slots show, the time zone decides when those slots appear, the event settings decide the duration and buffers, and the booking form decides what data is required. A problem in any of those layers can produce wrong slots, rejected bookings or appointments at the wrong time.

What to check first

Start here
  • Open the calendar and view the available slots as a lead would see them.
  • Confirm the calendar's time zone matches the business location.
  • Check the availability and business hours settings.
  • Review the event duration and buffer time.
  • Confirm the booking form's required fields are all being filled.

Availability and business hours

If no slots appear, or only a few do, the availability rules are the first place to look. Confirm the business hours are set for the days you expect bookings, and that no blackout dates or staff unavailability are blocking the calendar. A calendar with availability set to zero hours per day will show nothing, and the booking page will look broken even though the calendar itself is fine.

Also check whether the calendar is tied to a specific user whose schedule is full or blocked. If the assigned user has no open slots, the calendar shows no availability.

Time zone mismatches

Time zone problems are the most common cause of bookings at the wrong time. If the calendar is set to one time zone and the lead views it from another, the slots shift. A 2pm slot in the business time zone can appear as 9am or 11pm to a lead in a different zone. Confirm the calendar's time zone is set to the business location, and that the booking page displays times in the viewer's zone if that is your intent.

Also check the time zone on the assigned user's profile. A user whose profile is set to the wrong zone can cause double bookings or gaps that should not exist.

Buffer time and event duration

Buffer time before and after events reduces available slots. If the buffer is too large, the calendar shows very few options. If the event duration is set longer than the gap between appointments, slots disappear. Review the buffer and duration against the actual slots you expect to see.

Calendar sync and conflicts

If the calendar syncs with Google or Outlook, events on the synced calendar can block slots in GoHighLevel. A booking that appears available in GoHighLevel but conflicts with a synced event can cause a double booking or a rejected confirmation. Confirm the sync is active and that the synced calendar is the correct one.

Sync delays can also cause problems. A recently added event on the external calendar may not have synced yet, leaving a slot open that should be blocked. Allow time for the sync to update before assuming the calendar is wrong.

Booking form and required fields

If a lead gets to the booking form and cannot complete it, the cause is often a required field that is not being filled or a field that is not mapping correctly. Confirm every required field is clear and that the form accepts the input format the lead is likely to use. A form that rejects a phone number because of formatting will block the booking even though the slot was available.

How to test the calendar end to end

  1. 1.Open the booking page in an incognito window as a lead would.
  2. 2.Confirm the available slots match what you expect for the current day.
  3. 3.Book a test slot and confirm the time is correct in the confirmation.
  4. 4.Check that the booking appears on the calendar at the right time.
  5. 5.Confirm any synced calendar reflects the booking without conflict.
Calendar problems are usually about availability, time zones or sync, not the booking page itself. Test the full path from the lead's view before changing the calendar settings.

Frequently Asked Questions

Why is my GoHighLevel calendar showing no available slots?

The most common causes are availability or business hours set to zero, a blackout date, or the assigned user having a full or blocked schedule. Check the availability rules and the assigned user's schedule before assuming the calendar is broken.

Why is my GoHighLevel calendar booking at the wrong time?

This is usually a time zone mismatch. Confirm the calendar's time zone is set to the business location and that the assigned user's profile uses the same zone. A mismatch between the calendar zone and the user zone causes slots to shift.
