Automation Sending Duplicate Emails or SMS: How to Find the Duplicate Path

When an automation sends duplicate emails or SMS, the contact received the same message more than once. The duplicate comes from a message path that runs twice or multiple paths that each send the same message. Map every message path before removing automation, because deleting the wrong workflow breaks legitimate messaging.

Duplicate messages come from multiple paths

A duplicate message means the same email or SMS reached the contact twice. The cause is either one message action running twice or multiple message actions sending the same content. Before you remove anything, map every path that can send that message. A workflow that sends the message once is not the problem if a second workflow also sends it. Removing the first workflow stops the duplicate but also stops the legitimate send.

Two workflows, same messageEach sends once, contact gets twoTwo workflow logs with same email

What to check first

Start here
  • Check the contact activity log and count how many times the message was sent.
  • Identify which workflow or workflows sent the message.
  • If one workflow sent it twice, check for duplicate runs or re-entry.
  • If two workflows sent it, identify both and decide which to keep.
  • Check whether a manual send also occurred alongside the automated one.

One workflow sending twice

If a single workflow sent the message twice, the email or SMS action ran twice. Check the workflow history for that contact. Two runs of the same workflow means the trigger fired twice or the contact re-entered. A message action inside a loop or a repeated branch can also fire twice. The fix is to stop the duplicate run, which is the same diagnosis covered in the guide on automation running twice.

Two workflows sending the same message

If two different workflows each sent the message once, the contact received two messages because two automations do the same thing. This happens when similar workflows are built over time and both trigger on the same event. Check the activity log for the sending workflow name on each message. Two different workflow names means two separate workflows. The fix is to disable or consolidate one workflow, not to change the message action.

Manual messaging plus automation

A sales rep may send a manual email or SMS while an automation also sends one. The activity log distinguishes manual sends from automated sends. If one message is manual and one is automated, the duplicate is a process problem, not a workflow problem. Coordinate the manual and automated paths so they do not both send the same message.

Multiple platforms

If you use more than one messaging system, the CRM and a separate email tool may both send to the same contact. Confirm which platform sent each message. Two messages from two platforms is an integration overlap, not a single workflow problem. The fix is to route that message through one platform only.

How to test it

  1. 1.Trigger the event once and check the contact activity log.
  2. 2.Count the messages sent and note the sending workflow for each.
  3. 3.If one workflow sent twice, trace the duplicate run source.
  4. 4.If two workflows sent, identify both and keep the intended one.
  5. 5.Confirm no manual send or second platform also sent.
Map every message path before removing a workflow. A workflow that sends the message once is doing its job, and removing it stops the legitimate send while leaving the real duplicate path in place.

Frequently Asked Questions

Why is my automation sending duplicate emails?

Either one workflow is sending the email twice, or two separate workflows are each sending it once. Check the contact activity log to see which workflow sent each message before you remove anything.

How do I stop duplicate SMS from my automation?

Identify every path that can send that SMS. If one workflow sends twice, fix the duplicate run. If two workflows each send once, disable or consolidate one. Check for manual sends or a second platform also sending.
