Automation Is Not Creating Tasks for Sales Reps: How to Troubleshoot Task Creation

When automation does not create tasks for sales reps, the workflow either never created the task or created it in a way that made it invisible. These are different problems. A task that was never created points to the workflow action. A task that exists but is assigned to the wrong person or hidden points to assignment and visibility. Created versus visible

There are two distinct failure modes. The task was never created, which means the workflow action failed or was skipped. Or the task was created but is assigned to the wrong user, has the wrong due date or is not visible where the rep expects it. The first is a workflow problem. The second is an assignment or visibility problem. Confirm which one applies before debugging.

What to check first

  • Check the workflow history to see whether the task action ran.
  • Search the CRM for any task on the contact or opportunity, including completed ones.
  • If a task exists, check the assigned user and due date.
  • Confirm the task action has the required fields filled, such as title and assignee.
  • Check whether a condition skipped the task action.

Was the task action skipped or failed

Open the workflow history for the record and find the task creation step. If the step was skipped, a condition controlled it and the condition was not met. If the step errored, a required field was missing or the action configuration is invalid. A task action without a title, an assignee or a due date may fail silently depending on the platform. Confirm the action has every required field and that the condition allowing it was met.

The assigned user

If the task was created but assigned to the wrong person, the assigned user field in the action is wrong. The action may assign to a fixed user instead of the lead owner, or it may reference a field that is empty. Confirm the action assigns the task to the correct rep, whether that is the lead owner, a round robin result or a named user. Due date and task type

A task with the wrong due date may appear in the wrong part of the rep's task list or be overlooked. Confirm the due date calculation in the action. A due date based on a wait step or a field value can produce unexpected dates if the source value is wrong. Also confirm the task type, such as call or follow-up, matches what the rep expects to see. A task created with the wrong type may not appear in the rep's filtered view.

Visibility and permissions

A task can exist but be invisible to the rep if permissions restrict it. The task may be assigned to the rep but visible only to an admin, or the rep's task view may filter by a type or date that excludes it. Confirm the rep has permission to see the task and that their task view includes the task type and date range. A task that exists in the database but never reaches the rep's view is a visibility problem, not a creation problem.

Multiple task actions and conflicts

If several workflows create tasks on the same trigger, the rep may see duplicate tasks or the wrong one. Map every workflow that creates tasks for the trigger and confirm which one should run.
