Analytics Dashboard Shows Leads but CRM Does Not: How to Trace the Data Journey

When your analytics dashboard records a lead but the CRM does not, the lead disappeared somewhere between the conversion event and the CRM record. The break can sit at the conversion event, the form submission, the integration, the webhook, the field mapping or the CRM creation step. Trace the data journey from the visitor to the CRM record to find where the lead drops out.

The data journey from visitor to CRM

A lead travels through several stages. A visitor converts, a conversion event fires in analytics, the form or call submits, the integration receives the data, a webhook or API sends it to the CRM, the field mapping translates it and the CRM creates a record. A lead present in analytics but missing from the CRM failed somewhere in that chain. The job is to find the first stage where the data stops.

What to check first

Start here
  • Confirm the analytics conversion event actually fired for the missing lead.
  • Confirm the form or call submission completed and sent data.
  • Confirm the integration or webhook received the data.
  • Confirm the CRM did not reject the record for a duplicate or missing required field.

Duplicate events and failed CRM creation

Two common causes sit at opposite ends of the chain. A duplicate conversion event can inflate analytics while the CRM deduplicates and keeps one record. A failed CRM creation can record the lead in analytics but never create the CRM contact because a required field was missing or a duplicate check blocked it. Confirm whether the analytics count is inflated or the CRM count is suppressed.

Field mapping and required fields

A webhook can deliver data but the CRM can reject it if a required field is empty or mapped to the wrong destination. The lead exists in analytics because the event fired, but the CRM never created the record because the payload did not satisfy its requirements. Compare the mapped fields with the CRM required fields for the specific lead type.

How to test the fix

  1. 1.Submit a test lead and confirm the analytics event fires.
  2. 2.Confirm the integration or webhook receives the data.
  3. 3.Confirm the CRM creates the record with the correct fields.
  4. 4.If the CRM rejects the record, identify the missing or wrong field.

How to validate the final result

After the fix, a test lead should appear in both analytics and the CRM with matching data. If analytics still shows more leads than the CRM, check for duplicate events or systematic CRM rejection of a specific lead type.

Frequently Asked Questions

Why does GA4 show more leads than my CRM?

The lead may fail at the integration, webhook, field mapping or CRM creation stage. A duplicate event can also inflate analytics while the CRM keeps one record. Trace the data from the conversion event to the CRM record to find where it drops.
